New process for requesting IT equipment

A new electronic form for requesting IT equipment has been developed.

The new procedure follows the decision in September 2020 by the Executive Team that all IT equipment through our capital allocation instead of through Directorate revenue budgets.

The new request form will automatically be sent to Finance, People and OD and Estates teams to ensure the requested equipment has been budgeted for and the staff member is included within our current establishment or as part of our recruitment plan. The Estates Team will also ensure that the proposed base is suitable and safe for the equipment to be used. Following approval, the request will be processed by our Desktop and Devices Team from the IM&T Division.

This new process will have a number of benefits for staff including:

•    Public Health Wales will have greater financial control over IT assets.
•    There will be greater flexibility to reallocate and move IT equipment within the organisation.
•    Reduction in year-end ordering and procurement.
•    New employees will be provided a standard laptop by default unless otherwise stated at point of recruitment.
•    Stock of equipment will ensure we can provide loan or replacement requests more efficiently.

Going forward, any business cases or new posts joining the organisation will require capital funding for IT equipment to be included. A working stock of laptops will be maintained to ensure that any temporary/ fixed term members of staff will have the necessary IT equipment provided.

Alongside this, the IT replacement programme will be operating throughout the year to ensure any laptop over five years old is replaced. We will be prioritising the oldest laptops first and IT and Estates will be in contact with you to arrange.

We will also be piloting the use of Microsoft Surface laptops over the next few months and identifying individuals from across the organisation to trial and evaluate the product. Further details will be provided shortly.

If your directorate or division has IT equipment that is no longer being used, such as laptops, desktops, monitors, please let the Estates Team know. Obsolete IT equipment requires secure disposal through a WEEE compliant recycler, which will be organised by the IM&T Division.
